The TRM Archive Storage Process

1. Quote request
   At the quote request stage of your archive storage service, we'll try to determine the smartest and easiest way to store and manage your documents. We'll need to know your archive storage box volume, the type of documents or media they contain (paper, computer disk, microfilm, etc), the problems that you hope to solve by using our archive storage in Brisbane or the Gold Coast, and your access requirements for the documents in the future.
2. Site visit
   If we need to come check out your archive storage boxes and have a chat first hand, we will.
3. Service structure determined
   Next, we jointly determine our archive storage service structure. Our archive storage in Brisbane and Gold Coast has pickup and delivery service as a base inclusion. However, you can also choose to have TRM:
   - Sort and organise your records systematically
   - Create a records retention schedule for your documents in archive storage, where we help you determine how long documents need to be kept, and automatically destroy them when required by government regulations.
   - Image any of your documents that may need regular access.
   - Re-stock your archive storage box supply - our boxes are ultra-durable and resistant to the notoriously difficult Queensland weather!
4. Training in using EDC RCWeb
   EDC RCWeb is the secure web portal that you can use to request archive storage box delivery, track the whereabouts of your boxes, view other information about them, and receive searchable images of your documents through our scan-on-demand service. At this initial stage we can train you in the use of EDC RCWeb.
5. Archive storage box pickup
   Our secure couriers (employees of TRM, not subcontractors) will pick up your archive storage boxes at a date that's convenient for you.
6. Organisation
   Once your archive storage boxes arrive on site, if you've chosen to engage our organisation service that is the first thing we'll do. We can start by culling unnecessary files from your boxes, and move onto cataloguing and indexing their contents.
7. Imaging
   If you've chosen to engage our imaging service for some frequently used documentswe'll scan these, run them through our industry-leading Optical Character Recognition Program, and either upload the searchable image files to our secure web server or email to you, whatever your preference.
8. Barcoding
   After your boxes have been sorted logically into a system which makes information quickly accessible, they are assigned a barcode label, scanned and entered into our system. You can see their status on EDC RCWeb at this stage.
9. Archive storage
   Once entered into our system, your archive storage boxes are placed in their spot within our secure warehouse. Our Brisbane, Gold Coast and other Queensland archive storage facilities all have secure shelving with spacing that allows your boxes to breathe, and keeps the contents safe. If you've engaged our media vault services, your media are placed within the fire-proof, flood-proof, burglar-proof secure on-site vault.
10. Retrieval and delivery
    Your archive storage boxes are available for immediate retrieval at any stage. We delivery physical archive storage boxes from our Brisbane and Gold Coast archive storage facilities twice daily, as well as from all other facilities across Queensland. You can also opt for our scan-on-demand service and have your documents emailed or uploaded to EDC RCWeb, and there are urgent delivery options available for both physical and digital delivery.
